Aspen Publishing is seeking an Administrative Assistant to be a part of an exciting growing Company. This position will work in our Burlington, MA, office with an optional hybrid office (3-days)/work-from home (2-days) schedule. The ideal candidate is interested in a career in higher education publishing and is expected to develop a comprehensive knowledge of the Editorial group’s activities.

REPORTS TO: Vice President, Publisher

LOCATION: Burlington, MA
RANGE: $53K MIN/ $63.9K MID/ $75.9K MAX
 
POSITION SUMMARY: Responsible for providing administrative support to the Publisher, Editorial Director, and Director of Production and Manufacturing.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage and maintain schedules, including scheduling travel and conferences, making appointments, and making changes to appointments
  • Triage Publisher correspondence, including email, and snail mail
  • Prepare reports (including Travel and Expense Reports); collect, collate, and analyze information; prepare presentations
  • Record meeting discussions and provide minutes
  • Coordinate weekly and monthly staff meetings
  • Populate CRM and Title Management Systems with critical data
  • Generate market share and market opportunity reports as needed
  • Coordinate all invoice tracking, prepare check requests, and follow up as needed
  • Coordinate all activities related to scheduling New Product Proposal (NPP) meetings, including attending meetings and posting approved NPPs
  • Request and distribute reports for approved revision titles and maintain RTF files for editorial
  • Circulate weekly publication plan and changes memo; Regularly update the product master as required
  • Send out announcements and emails to company and send author copies as books are published
  • Work closely with managing editors and acquisitions editors to ensure accurate reporting of weekly status reports, work schedules and monthly reports
  • Process accessibility requests as needed
  •  Perform other duties as assigned by supervisor

QUALIFICATIONS:

  • Bachelor's degree in business administration, communications, management, or a related field
  • 1-3 years of work experience in an administrative role
  • Advanced Microsoft Office Experience
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication (both written and oral) skills and interpersonal skills
